Administrative Specialist


Job Description

We are seeking a highly organized and detail-oriented professional to support our training and operations team. The ideal candidate thrives in a fast-paced environment, can multi-task with minimal supervision, and demonstrates strong customer service and time management skills. This role requires proficiency with reporting applications and office tools such as Excel, Word, Power BI, Teams, and others. Strong written and verbal communication skills, including grammar checking, are essential.

Key Responsibilities

  • Run, track, and submit reports.

  • Send communications such as new hire and progression emails.

  • Order office supplies, meals, coffee, and snacks, and assist with setup/cleanup.

  • Enter registration/completion data and create classes in the Learning Management System (LMS).

  • Coordinate with trainers to prepare and set up daily training materials.

  • Manage the training department email inbox and Excel-based training calendars.

  • Facilitate new hire orientation and onboarding processes.

  • Process invoices and maintain facility requests.

  • Administer and track veteran benefits programs.

  • Provide system support for MyLearning, LMS, SharePoint, and other platforms.

  • Assign classes/curriculum in MyLearning and coordinate IT/training support.

  • Assist with committees, peer teams, special projects, and corporate events.

  • Track certifications and compliance records, conduct audits, and provide reporting on training data and trends.

  • Ability to work independently under general supervision, with work reviewed for completeness and accuracy.

  • Strong communication skills (written and verbal), with a customer-service focus.

  • High attention to detail with the ability to manage logistics, scheduling, and records across multiple systems.

  • Proficiency with MS Office (Excel Power User preferred), Teams, PowerPoint, Power BI, and Adobe Suite.

  • Experience in data entry, reporting, trend analysis, and supporting compliance requirements.

  • Ability to collaborate effectively with team members, vendors, subject matter experts, and internal/external stakeholders.

  • Creative problem-solving skills and the ability to optimize workflows within established parameters.
