This policy incorporates key elements of the National Institute of Standards and Technology\u2019s (NIST) AI Risk Management Framework (RMF) and complies with applicable U.S. state regulations governing AI use in employment decisions.<\/span><\/p>\n\n<h4><b>AI System Overview<\/b><\/h4>\n<p><span style=\"font-weight: 400;\">We employ AI technologies to:<\/span><\/p>\n\n<ul>\n \t<li><b>Prepare Job Descriptions:<\/b><span style=\"font-weight: 400;\"> AI assists in drafting and refining job descriptions to ensure clarity and inclusivity.<\/span><\/li>\n \t<li><b>Virtual Recruiter Agent (\u201cCaroline\u201d):<\/b><span style=\"font-weight: 400;\"> An AI-driven agent contacts potential job candidates, providing information about posted jobs that may match their skill set, obtaining information from the candidates about their background and experience, assessing interest in the available position(s) and, in some circumstances, scheduling initial interviews with a live recruiter.<\/span><\/li>\n \t<li><b>TalentBridge Internal AI Tool (\u201cNatalie\u201d): <\/b><span style=\"font-weight: 400;\">A customized AI tool that supports sales, recruiting, and operations with curated prompts tied to each core function.<\/span><b><br \/>\n<\/b><\/li>\n<\/ul>\n<h4><b>Risk Management Framework<\/b><\/h4>\n<p><span style=\"font-weight: 400;\">In alignment with NIST\u2019s AI RMF, our approach encompasses:<\/span><\/p>\n\n<ul>\n \t<li style=\"font-weight: 400;\" aria-level=\"1\"><b>Governance:<\/b><span style=\"font-weight: 400;\"> Establishing clear roles and responsibilities for AI oversight.<\/span><\/li>\n \t<li style=\"font-weight: 400;\" aria-level=\"1\"><b>Risk Assessment:<\/b><span style=\"font-weight: 400;\"> Identifying and evaluating risks associated with AI systems.<\/span><\/li>\n \t<li style=\"font-weight: 400;\" aria-level=\"1\"><b>Control Implementation:<\/b><span style=\"font-weight: 400;\"> Applying measures to mitigate identified risks.<\/span><\/li>\n \t<li style=\"font-weight: 400;\" aria-level=\"1\"><b>Monitoring:<\/b><span style=\"font-weight: 400;\"> Continuously tracking AI system performance and impact.<\/span><\/li>\n<\/ul>\n<ol start=\"4\"><\/ol>\n<h4><span style=\"font-weight: 400;\"><b>Compliance with State Regulations<br \/>\n<\/b><br \/>\nWe comply with all existing state-specific regulations governing the use of AI in employment decisions and continually monitor and assess the applicability of new state regulations.<\/span><\/h4>\n<h4><b>Annual Bias Impact Assessment<\/b><\/h4>\n<p><span style=\"font-weight: 400;\">We perform regular bias impact assessments to:<\/span><\/p>\n\n<ul>\n \t<li style=\"font-weight: 400;\" aria-level=\"1\"><b>Evaluate AI 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">The types of data collected and their sources.<\/span><\/li>\n \t<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Measures taken to mitigate algorithmic discrimination.<\/span><\/li>\n \t<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Steps taken to continuously measure reliability and correctness of information used.<\/span><\/li>\n<\/ul>\n<ol start=\"7\"><\/ol>\n<h4><span style=\"font-weight: 400;\"><b>Consumer Notice and Transparency<br \/>\n<\/b><br \/>\nAll \/>\nIf an AI system substantially contributes to an adverse decision (e.g., not advancing a candidate to a live recruiter or providing a below-threshold score for the candidate), we ensure:<\/span><\/h4>\n<ul>\n \t<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Disclosure of the principal reason for the decision.<\/span><\/li>\n \t<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">An opportunity for candidates to correct any inaccuracies in their data.<\/span><\/li>\n \t<li style=\"font-weight: style=\"font-weight: 400;\">Legal obligations under state and federal laws.<\/span><\/li>\n \t<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Procedures for addressing AI-related concerns.<\/span><\/li>\n<\/ul>\n<ol start=\"11\"><\/ol>\n<h4><span style=\"font-weight: 400;\"><b>Monitoring and Continuous Improvement<br \/>\n<\/b><br \/>\nWe:<\/span><\/h4>\n<ul>\n \t<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Regularly review AI system performance and compliance.<\/span><\/li>\n \t<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Update policies and procedures as needed to address emerging risks and regulatory changes.<\/span><\/li>\n \t<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Engage with stakeholders to gather feedback and improve practices<br \/>\n<\/span><\/li>\n<\/ul>\n<ol start=\"12\"><\/ol>\n<h4><span style=\"font-weight: 400;\"><b>Day-To-Day AI Use By TalentBridge Employees<br \/>\n<\/b><br \/>\nTalentBridge permits the responsible use of \u201cNatalie\u201d, ChatGPT, CoPilot and\/or other similar vetted AI tool(s) for business purposes as long as employees do so in accordance with this policy.<\/span><\/h4>\n<p><b>Employees must advise their supervisor as to what tasks they utilize AI to assist with.\u00a0 Each employee will be asked to provide a summary of the AI tools that they use to support their work functions and a brief explanation of how the tools are utilized (i.e., \u201cI use ChatGPT to assist me in developing or refining job descriptions\u201d).<\/b><\/p>\n<p><span style=\"font-weight: 400;\">It is important that the company have a good understanding of the areas where AI is being used to assist employees in completing their job duties. This allows us to share best practices on a company-wide basis, to ensure that employees are using AI in accordance with the permitted uses outlined in this policy and to assess other tools that may have broader or more beneficial uses.<\/span><\/p>\n<p><b>Employees should not include restricted information in any interaction with generative AI tools other than \u201cNatalie\u201d, which is a closed source tool.<\/b><\/p>\n<p><span style=\"font-weight: 400;\">Since user input is used by default to train the AI models, any information employees may provide via an open source query could be made publicly available. This risk will be mitigated by our use of a corporate ChatGPT account and\/or using ChatGPT exclusively with the \u201cChat History &amp; Training\u201d setting disabled so users\u2019 content won\u2019t be used to train the model. Presently only ChatGPT offers this limitation option. As other generative AI tools offer this feature, they will be evaluated for employee use.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\"><br \/>\n<\/span><b>The use of generative AI tools is subject to the terms of the Employee Handbook, specifically including but not limited to our policies related to \u201c<\/b><a href=\"https:\/\/www.brotherhoodmutual.com\/working-together\/employee-handbook\/optional-policies\/confidential-information\/\"><b>Confidential Information<\/b><\/a><b>,\u201d \u201cIntellectual Property\u201d, \u201cHarassment and Discrimination\u201d.<\/b><span style=\"font-weight: 400;\"><br \/>\n<\/span><span style=\"font-weight: 400;\"><br \/>\n<\/span><span style=\"font-weight: 400;\">Employees should never include sensitive content in open source queries, such as:<\/span><\/p>\n\n<ul>\n \t<li style=\"font-weight: 400;\" aria-level=\"1\"><a href=\"https:\/\/www.dol.gov\/general\/ppii\"><span style=\"font-weight: 400;\">Personally identifiable information (PII)<\/span><\/a><\/li>\n \t<li style=\"font-weight: 400;\" aria-level=\"1\"><a href=\"https:\/\/privacyruleandresearch.nih.gov\/pr_07.asp\"><span style=\"font-weight: 400;\">Personal health information (PHI)<\/span><\/a><\/li>\n \t<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">TalentBridge\u2019s intellectual property or trade secrets<\/span><\/li>\n \t<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Other confidential employee, customer, or third-party information<\/span><\/li>\n \t<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Strategic information, including questions that might not appear especially problematic but could inadvertently give away strategic organizational plans (Example: Asking ChatGPT to summarize notes from an internal meeting during which company leaders discussed financial updates or upcoming changes that are confidential; asking ChatGPT to summarize confidential customer information.)<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">If an employee is unsure if the information is safe to enter, they should seek guidance from their supervisor or General Counsel.<\/span><\/p>\n<p><b>AI-generated content is not authoritative.<\/b><span style=\"font-weight: 400;\">\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Generative AI tools don\u2019t have the capacity to recall or cite the specific sources from which their responses are generated. Instead of quoting specific phrases, their responses are constructed based on patterns they have learned from a vast array of sources. This means the responses you receive may not be 100% accurate. Therefore, employees should <\/span><b><i>confirm the accuracy of the information<\/i><\/b> <span style=\"font-weight: 400;\">by cross-referencing the reliable sources they would typically use to complete their assigned tasks or make decisions<\/span><i><span style=\"font-weight: 400;\">.<\/span><\/i><\/p>\n<p><b>Generative AI tools are meant to enhance human work.<\/b><\/p>\n<p><span style=\"font-weight: 400;\">\u00a0Employees should not use these tools as a substitute for the unique skills, insights, and decision-making abilities they bring to their role. They should evaluate the quality and relevance of the information provided by AI and use their own expertise and judgment to make informed decisions about what they should include in their work. Employees must also <\/span><b><i>inform their supervisor in advance if they use generative AI tools<\/i><\/b><span style=\"font-weight: 400;\"> as part of the drafting or creation of any content that will be published for external use outside of TalentBridge<\/span><i><span style=\"font-weight: 400;\">.<\/span><\/i><\/p>\n<p><b>Take ethical considerations into account while using generative AI.<\/b><\/p>\n<p><span style=\"font-weight: 400;\">\u00a0All TalentBridge employees are expected to adhere to legal and ethical standards while using AI resources. They must avoid engaging in activities that may infringe upon privacy, intellectual property rights, or violate any regulations or laws. Additionally, when creating content of any kind, employees should clearly distinguish between their own input and AI-generated responses and attribute appropriately when sharing information.<\/span><\/p>\n<p><b>Report issues and feedback.<\/b><span style=\"font-weight: 400;\">\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">To inform and improve TalentBridge\u2019s practices surrounding generative AI, employees are encouraged to provide feedback on the effectiveness, limitations, or any problematic aspects they encounter while using the system.<\/span><\/p>\n<p><b>These new technologies are rapidly evolving.\u00a0<\/b><\/p>\n<p><span style=\"font-weight: 400;\">As we gain more experience with generative AI technology and its capacity to self-verify increases, more guidance will be provided in the future.<\/span><\/p>\n<p><b>When in doubt, err on the side of caution<\/b><span style=\"font-weight: 400;\">.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Employees should always be deliberate and diligent in their efforts to protect TalentBridge<\/span><i><span style=\"font-weight: 400;\">, <\/span><\/i><span style=\"font-weight: 400;\">our customers and candidates when using generative AI technology.<\/span><\/p>\n\n<h4><b>Conclusion<\/b><\/h4>\n<p><span style=\"font-weight: 400;\">This policy reflects our commitment to ethical AI use in staffing and recruiting.
